Terms and Conditions for your party booking with Flava Fun Entertainments.

1. Booking

 

1.1 You the Client has entered into a verbal contract with Flava Fun Entertainments with booking us for your party on the dates stated between us. Your date will now be held for you at the stated time and date.

 

1.2 There will be adequate set up time available usually 60 to  90 minutes before the start time of the event and 60 minutes after the event to break the set down. The Client should indicate what access is available, stairs, lifts, Car parking etc. The client should also make the venue aware of the set up and pack down times for the DJ, so that there are no crossed wires on the day, and that the day can run as smoothly as possible.

 

1.3 Paying a booking fee for your event or function is a requirement of your booking. Your verbal agreement between you the client and flava fun entertainments is a binding contract of work.

 

1.4 The booking form has to be filled in and sent back to Flava Fun Entertainments within 7 days of the email being sent to you.

 

2. Payment

 

2.1. We ask for a deposit for your booking of minimum £10 for your date, which we ask you to make payment via the following methods. Please include your full name and date of your event as reference when sending payment over.

 

Cash: if you would like to pay by cash, we ask that payment is made on the day of the party and before the party starts.


 

Bank Transfer: If you would like to make payment via bank transfer the details for the account are included in your booking email or on the invoice provided

 

Payment via invoice: you will receive an invoice following this email and if you would like to make payment via the invoice please follow the relevant steps via the link.

 

PayPal: If you would like to make payment via PayPal, please use these details flavafunentertainments@gmail.com.

 

2.2 To make payment in full, before the event we ask that you use the same method in 2.1 with reference, and payment must be made and cleared in our account at least 24 hours before the start of the event,( if payment has been made before the event and not cleared, we reserve the right to ask for payment on the night before the event starts, and if we don't receive clear payment before the start of the party we reserve the right to not continue with the event and pack down, and you will be invoiced for 50% payment of the events total)

 

3. Cancellation.

 

3.1 - The DJ will be holding your date exclusively for you and will turn away all other work.  The potential loss of work in the event of a cancellation is real and tangible therefore The DJ will charge a cancellation fee of £50 which you will be invoiced for and payment must be made within 7 days or legal action will be taken.  Cancellations must be made in writing or by email.  No telephone cancellations can be accepted.

 

3.2 - If the Client cancels within 30 days prior to the event the cancellation fee is 100% of the balance outstanding, which you will be invoiced for, and payment must be made within 7 days or legal action will be taken.

 

3.3 - Should the event be cancelled for reasons entirely beyond The Clients control this includes covid 19, if the client has to cancel due to covid 19, the deposit will not be refunded, but any other payments made will be refunded to you within 14 days. If Great Britain is put in lock down due to covid 19 and you have to cancel your date. You will be asked to move your party to another up-and-coming date that is free, if you choose to cancel instead of moving the date then you will lose the non-refundable deposit, but you will receive any payments made that are above the amount of the deposit. 

 

4. Conduct.

 

4.1 - It is the Client's responsibility to ensure that all guests conduct themselves in a proper manner at all times. The Client must be responsible for all guests and their actions.

The Client will provide adequate supervision of its guests, including children, at the venue, and will be liable for any loss of or damage to the The DJ's equipment or personnel belongings, caused by guests attending the function.

 

4.2 - If the client is wanting to make speeches on the night, they must follow the dj’s instructions of where to go and how to treat the equipment and must not be drunk or the dj has all rights to terminate the speeches and the disco if they feel the person or persons are not acting responsible with the equipment.

 

4.3 We ask you don't allow the guest to overwhelm or bombard the dj on the night and use the relevant music request sheets.

 

4.4 - No violent, aggressive or abusive behaviour from anyone under any circumstances will be tolerated, and The DJ reserves the right to terminate the disco at any time if any personal safety is under threat or their equipment and no refund will be given.  The DJ does not take responsibility for ejecting any unwanted persons from any venue. The Client will be advised of any problems arising in this respect with any guests.

 

4.5 - In the event of a minor's function there must be the legal ratio of responsible persons to minors.

 

4.6 - The DJ will act in a fully responsible attitude at all times, during his attendance to the venue, it will be set up and run as requested by The Client unless the legal requirement is different which will be pointed out and stated.

 

4.7 - The DJ will be responsible for producing certificates of Public Liability Insurance (PLI) 

 

5. - Security

5.1 - The Client will be responsible for the safety and security of any theft of items of The DJ.

 

5.2 - The DJ is not liable for any damage to the venue; any potential hazard must be pointed out by the client or the venue staff at the time of set-up.

 

5.3 - The Client is also responsible for any damage to The DJ's equipment caused by any person at the event. The Client will be charged for the full cost of any repairs required. The Client will be advised of any damage as soon as it is caused, or at the end of the night. You will then be invoiced for the amount of the repairs and will be given 7 days for payment or legal action will be taken.

 

6. Health and Safety

6.1 - The DJ will adhere to all rules and regulations of the HSE EAW Act 1989, to which The Client must also adhere to the above and adhere. Subject to failure to conform to the above act The DJ cannot take any further part of the event and the full amount of the event has to be paid.

 

6.2 - In the event of fire, flooding, public disturbance, terrorist activity or any other threat to the public, The DJ will not be responsible to help in any way or evacuate any venue or building where he is present and / or working within, unless the fire regulations for the venue specify otherwise. This would usually incur a vocal announcement.

 

7. - The Venue

7.1 - The Client will allow suitable time for the installation and dismantling, and removal of equipment (minimum of one hour).  The Client also ensures that safe and adequate power is available. The DJ will ensure that any equipment that requires connection to a power source is electrically safe. If the venue has a noise limiter the dj can only play to the allowance of the noise limiter and will not push the noise above what the limiter asks. If the noise limiter causes any damage to the Dj’s equipment you as a client will be held responsible for the damage costs.

 

7.2 - The Client must ensure that the entire venue has all relevant licenses, and conforms to all the local bye-laws as The DJ cannot perform in a venue that has not got all required licenses.

 

7.3 - The Client must ensure that there is adequate parking for The DJ on the night for off loading and loading of the equipment, in a safe and secure manner. Should there be items stolen during this procedure it is the responsibility of The Client.

 

7.4 - If the performance start time is delayed due to the inability of The DJ to gain access to the performance area, or any other delay beyond The DJ(s) reasonable control, The DJ will not refund whatsoever.

 

7.5 - If you are booking other entertainment (e.g. Singer, comedian, band etc) as well as hiring ourselves, please consider & think about the amount of space available and where The Client is going to put the disco. Speaker location is usually best if it is no greater than 10 meters either side from the position of the presenter.

7.6 - The DJ also reserves the right to refuse to continue any event prior to the start should there not be sufficient floor space which would not allow the audio / lighting equipment to be assembled safely, and you will still be liable for full payment of the event.

 

7.7 - The DJ reserves the right to substitute alternative entertainment should uncontrollable circumstances dictate the need to do so. The DJ will be responsible for producing certificates of Public Liability Insurance. We will not be responsible for any damage or loss to private or public property caused by invited guests or members of the public.

 

7.8 The DJ will always abide by the guidelines of the venue and staff and will not be held responsible for what the venue asks or wants to happen on the night. We will not go against the venue's wishes.

 

7.9 If the venue decides to close early on your night, you are still responsible for full payment to the Dj, and will not be given any refund.

 

8. The Guests

 

8.1 The Dj will not be held responsible for if the guests are not enjoying themselves, the DJ is there to tailor the night to all not just individual peoples tastes, and no refund will be made for if you feel the guests didn't enjoy the night. 

 

8.2  Flava does not offer Karaoke  and we do not make any exceptions on the night for any guests. If the dj is asked overly on the night they will inform the client and you will have to put a stop to the requests.

 

8.3. Music request sheets will be put out on the night for guests to make music requests, so that the Dj is not overrun with people around the equipment. We ask that the music request sheets are treated with respect and not defaced and if they are the dj reserves the right to refuse to take any more requests on the night.

 

9. Music

9.1 If you are wanting certain music played on the night, you will have been sent a music form to fill in to help with the dj’s playlist. If you haven't filled in the form, the DJ has every right to play whichever songs they see fit for the night.

 

9.2 Flava Fun Entertainments only carry a certain amount of music on their system at one time and we ask that you be specific in the type of music you would like at least 72 hours before the event starts.

 

9.3 If a request of a certain kind of music or song has been asked for that the DJ seems unfit or doesnt have in the collection, the Dj reserves all rights to not play that song or style of music.

 

9.4 The Dj will play requested songs when they see fit and when the DJ can add it into the playlist.

 

9.5 The DJ will try their utmost to play songs with clean lyrics but with most modern day music that can be a problem, and will not be held responsible for any strong language in the music.

 

By reading these terms and conditions and by filling in our booking form you are binded to adhere to our terms and conditions and we ask that you uphold them. We hope you have a great event.
